HNP Ontario's executive team collectively works to organize informative events, run an ambassador program, and provide learning opportunities to individuals in the GTA and around the world. 

Leadership

RESPONSIBILITIES:
Supervise the team directors for the following departments: human resources & finance. 
Work closely with the Vice President of external affairs and Vice President of development to support the executive team by managing funding and hiring.
Work closely with the Co-founders and project leads to lead general team meetings and supervise the delegation of tasks at these weekly team meetings.
Oversee the entire hiring process including (but not limited to): the scheduling of interviews, orientations and training workshops for new hires.
Maintain internal team communication with the executive team members, volunteers, ambassadors, general members and community references.
Maintain an up-to-date copy of the organization’s constitution, as well as all relevant forms, both financial (eg: reimbursement form, bank account contract) and legal (eg: incorporation forms, website invoice) onto our drive.
Responsible for: setting the agenda for executive team meetings, ensuring all team positions are filled and that executives are fulfilling their roles within the organization.
Act as one of the three signing authorities on HNP accounts (eg: cheques, volunteer hours, reference letters, performance reviews, attendance checks).
Coordinate and oversee contract terminations if/when needed. 
If any issues arise, make sure to handle it open-mindedly and report it to the project leads/co-founders.

RESPONSIBILITIES: 
 
Supervise and lead team directors for the following departments: operations and communications.
Work closely with the Vice President of internal affairs and the Vice President of external affairs to support the executive team by managing the following projects: ambassador program, sponsorships, volunteer program, website, discord & monthly newsletter.
Work closely with the Co-founders and project leads to lead the team and supervise the delegation of tasks at weekly team meetings.
Keep track of all the communications going on internally in terms of collaborations with other departments, members and teams.
Coordinate with the directors of assigned teams to plan for these programs and delegate tasks to them on a frequent basis.
Update project leads on the work going on in the departments as often as possible.
Responsible for setting the agenda for weekly executive team meetings by working with the Vice President of Internal Affairs and the Vice President of External Affairs.
If any issues arise, make sure to handle it open-mindedly and report it to the project leads/co-founders.

Work closely with the Co-founders and project leads to lead the team and supervise the delegation of tasks at weekly team meetings (general meetings & director meetings).
Keep track of all the communications going on externally in terms of collaborations with other organizations, sponsors and previous guest speakers.
Coordinate with the directors of assigned teams to plan for new events and opportunities to make for the community (eg: community clean ups, tree planting events etc).
Update project leads on the work going on in the department as often as possible.
Responsible for: setting the agenda for weekly executive team meetings by working with the Vice President of Internal Affairs and Vice President of Development.
Monitor social media accounts, ensuring that we are reaching our target audience.
If any issues arise, make sure to handle it open-mindedly and report it to the project leads.

Events

Events Director

RESPONSIBILITIES: 
Planning and executing events for HNP Ontario along with the events directors.
Research and reach out to potential guest speakers for our events.
Manage all event set-up, tear down and follow-up processes.
Work under the events director to maintain event budgets, book venues/equipment,
access and submit events’ overall success reports.
Manage event operations and logistics on the day of (i.e: tree planting, community cleanups).
Create event advertisement posts in collaboration with the marketing team.

Community outreach to neighboring areas across the Greater Toronto/Vancouver Region to gather information and analyze areas of need
Connect with community members to organize logistics of events hosted under the direction of the Event Directors
Assist in researching locations to contact for future sponsorships, collaborations, etc,.

Responsible for creating/delegating Instagram and Facebook stories and highlights to team members on a weekly basis.
Update directors and executive team on what the marketing team is working on by maintaining effective communication and collaboration.
Create a monthly marketing calendar with the post schedule and post content.
Delegate tasks to the rest of the marketing team and work with them to come up with new advertisement strategies for events/collaborations.

Incharge of HNP Ontario’s social media (Instagram + facebook) and responsible for creating stories + highlights on a weekly basis.
Work with the marketing and communication team(s) to come up with advertisement strategies for our events.
Respond to comments and inquiries/dms on our social media pages in a timely manner.
Arrange shoutout for shoutout with other NPOs and increase our follower count on Instagram and Facebook.

Watch for trends on TikTok or other social media platforms to stay updated.

RESPONSIBILITIES: 
Work with the operations director to search for partnerships and sponsorships.
Keep a record of all partnerships and sponsorships in HNP’s google drive (ie: their signed agreements, spreadsheets, information etc).
Contact news outlets to showcase potential event shows and successes (if/when needed).
Reach out to and build relationships with other student-led non-profits, businesses, and schools (university/college environmental clubs) in GTA.
Get shout-outs from other nonprofits and businesses and work with the website manager to update our website with sponsorship information as needed.

Sponsorship Coordinator

RESPONSIBILITIES: 
Work under the finance director to oversee the organization’s finances.
Help schedule and execute large purchases (eg: for our events & volunteers).
Help reimburse the executive team when needed.
Prepare quarterly finance reports along with the finance director and present to the rest
of the executive team.
Proposal writing and searching for grants.

Finance & Technology Associate

RESPONSIBILITIES: 
Lead weekly meetings with the HR associates to ensure the entire team is well facilitated.
Work with the ambassador program coordinators, volunteer coordinator, and operations director to recruit, interview, and onboard ambassadors, volunteers and general members.
Draft letter of references and summary of volunteer hours for volunteers, ambassadors and exec team members as needed (who have been with the organization for 6+ months).
Organize and schedule exit interviews with team members if they decide to leave HNP.
Assemble the executive team for the 2022-2023 school year in May 2022 and help with their training, onboarding and interviews

RESPONSIBILITIES: 
Being present in the weekly team meeting.
Work with the HR director to complete the delegated tasks assigned to the department.
Help in administrative work such as keeping track of documents in the HNP drive, helping the HR director with recording the meeting, taking attendance, and keeping track of the attendance/absence logs.
Help with onboarding new HNP members (interviews, orientations, trainings, onboardings)
Help wherever needed throughout the year.

Human Resources Associate

Communications

RESPONSIBILITIES: 
 
Work under the Vice President of Development to supervise and lead the communications team to ensure that tasks are delegated equally amongst members of the communications team.
Be the supervisor of all things related to communications (eg: newsletter, media articles).
Keep tabs on current topics related to climate change so content can be generated on it.
Attend weekly executive member meetings AND bi-weekly director meetings to discuss projects and other issues related to your team.
Responsible for sending out a weekly email to the entire executive team summarizing everything that was discussed at that week’s meeting and indicating what tasks have been delegated to whom for the week.
Incharge of HNP Ontario’s email; responsible for replying back to all incoming emails in a timely manner.

Communications Director

RESPONSIBILITIES: 
 
Create new articles for our website and social media pages.
Responsible for producing a monthly newsletter on current and ongoing climate or environmental issues that will be sent out to general members, volunteers, & exec team.
Work with the director of communications to research a theme for each month and create news articles accordingly.
Attend Weekly meetings to update the rest of the organization on progress made in the communications department. 

Newsletter/Media Writer & Communications Associate

Operations

Operations Director

RESPONSIBILITIES: 
 
Work under the VP of External Affairs to supervise and lead the operations team to ensure that all team positions are filled and that executives are fulfilling their roles within the organization.
Responsible for directing the ambassador program coordinator(s) to oversee the ambassador program by outlining general guidelines and creating an orientation booklet as well as hosting weekly 30-min informative seminars on skill building (eg: public speaking, interview skills etc).
Responsible for directing the volunteer coordinator(s) to oversee all volunteers signed up with the organization at any given point. 
Responsible for directing the sponsorship coordinator(s) to oversee and supervise all general members enrolled within the organization’s discord server.
Incharge of recruitment and training of all volunteers and ambassadors every semester along with the HR director(s) and Vice President of Internal Affairs.

RESPONSIBILITIES:
Responsible for creating spreadsheets for attendance at weekly meetings.
Draft task lists/emails and compile meeting minutes for each week’s meeting.
First point of contact for anyone on the exec team who requires assistance with executive team forms (eg: contact info forms, poster request forms, consent forms, reference letter request forms etc)
Create and send out zoom links for all exec meetings on a weekly basis.
Responsible for executive team member quarterly check-ins via feedback forms.

Secretary

RESPONSIBILITIES:
Work on our website in terms of aesthetics and integration of any links and events.
Deal with errors that occur on the site and fix them as needed.
Make the website easily accessible and clearly lay out things by departments (finance, HR, events, communications, operations).
Update our website after each event or partnership/sponsorship collaboration.
Ensure that our website is updated with the organization’s most recent contact information and exec team members (bios + headshots).

Developer / Manager

RESPONSIBILITIES: 
Hire, train and onboard volunteers for our in person events (ie: community clean-ups, tree planting events etc) and connect them with the events team.
Lead and facilitate biweekly volunteer meetings by creating an agenda and delegating tasks. 
Manage google forms, attendance sheets and volunteer reports for volunteer meetings.
Act as a liaison between the exec team and the volunteers; keeping the line of communication open. 
Create a master list of all the volunteers involved within HNP with their contact information.
Respond to inquiries from volunteers via email or Instagram in a timely manner and check in with them frequently for ideas, suggestions, recommendations, questions or concerns.
