Executive Team

Finance Associate

 

NUMBER OF POSITIONS AVAILABLE: 1-2

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES: 

  • Work under the finance director(s) to oversee the organization’s finances.
    Help schedule and e
    xecute large purchases (eg: for our events & volunteers).

  • Help reimburse the executive team when needed.
    Design, plan
    and order merchandise for HNP Ontario’s executive team and volunteers.

  • Prepare quarterly finance reports along with the finance director and present to the rest
    of the executive team.

  • Assist the finance director(s) with yearly budget projections and impact reports.

  • Proposal writing, searching and applying for grants

 

REQUIREMENTS: Previous accounting/finance experience is an asset but not required; being comfortable in new and challenging environments, strong communication & organizational skills.

Outreach Associate

 

NUMBER OF POSITIONS AVAILABLE: 3-4

TIME COMMITMENT: (2-4 hours/week)

  • Work with the outreach director to search for potential collaborations and create a master tracker spreadsheet to keep track of all partnerships and sponsorships.

  • Create promotional material (eg: posters, posts) and partnership packages for all new collaborations (sponsorships, partnerships)
    Contact the local government (eg: mayors, MPs, MPPs) to invite them to HNP Ontario’s in-person and virtual events.

  • Get shout-outs from other nonprofits and businesses and work with the website manager to update our website with sponsorship information as needed.

  • Create all promotional material for yearly Ignite Fair and university club’s week tablings (eg: videos, sign-up sheets, presentations).

  • Conduct research on current and ongoing environmental issues around the globe and create presentations on them (to be presented to high school students)

 

REQUIREMENTS: Being comfortable in new and challenging environments, strong communication & writing skills.

Human Resources Associate

 

NUMBER OF POSITIONS AVAILABLE: 2-3

TIME COMMITMENT: (2-4 hours/week)
 

RESPONSIBILITIES: 

  • Work under the HR director(s) to complete the delegated tasks assigned to the department.

  • Help in administrative work such as keeping track of documents in

the HNP drive, helping the HR director with recording the weekly meeting(s), taking attendance, and keeping track of the attendance/absence logs, strikes, emails, executive portfolios etc.

  • Update the orientation booklet(s) and executive portfolios after each successful hiring period.

  • Hand out volunteer hours at all of our events to attendees.

  • Help with onboarding new HNP members (interviews, orientations, trainings, onboardings).

  • Plan/execute monthly team bonding activities (virtually) for the team as well as supervise the submission of volunteer hours for the executive team on a weekly basis.

  • Organize and schedule exit interviews with team members if they decide to leave HNP.

 

REQUIREMENTS: Previous leadership experience is an asset but not required; being comfortable in new and challenging environments, ability to work with a team, strong time management & organizational skills.

Events Associate

 

NUMBER OF POSITIONS AVAILABLE: 4

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES: 

  • Work under the event directors to plan and execute events for HNP Ontario and ensure that all the delegated tasks assigned to the department are completed on time.

  • Research and reach out to potential guest speakers for our events.

  • Manage all event set-up, tear down and follow-up processes.

  • Work with the event directors to maintain event budgets, book venues/equipment, access and submit post-event logistics reports.

  • If possible (not required), travel to HNP Ontario’s event site(s) before the event to scout out the area (eg: geography, nearby food places, parking spots).

  • Manage event operations and logistics on the day of (i.e: tree planting, community cleanups).

  • Create event advertisement posts and plans in collaboration with the marketing department (including itineraries, TikToks, Instagram reels, Facebook posts, sign up forms etc).

  • Email and contact potential sponsors for food and prize sponsorships for events.

 

REQUIREMENTS: Previous leadership experience is an asset; being comfortable in new and challenging environments, strong communication, and organizational skills.

Logistics Associate

 

NUMBER OF POSITIONS AVAILABLE: 1

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES: 

  • Work on our website in terms of aesthetics and integration of any links and events.

  • Deal with errors that occur on the site and fix them as needed.

  • Make the website easily accessible and clearly lay out things by departments (finance, HR, events, communications, logistics, outreach etc).

  • Update our website after each event or partnership/sponsorship collaboration.

  • Ensure that our website is updated with the organization’s most recent contact information and executive team members (bios + headshots)

  • Work under the logistics director(s) to ensure all links and forms on the website are updated at all times.

  • Prepare quarterly impact reports and annual end-of-the-year reports under the supervision of logistics directors (previous report writing experience is not required).

 

REQUIREMENTS: Strong website curation, communication, teamwork & time management skills. Prior experience in coding/website curation is an asset but not required.

Ambassador Program Coordinator

 

NUMBER OF POSITIONS AVAILABLE: 2

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES: 

  • Responsible for running, supervising and managing HNP’s ambassador program, a mentorship program for our executive team members and ambassadors where they can improve their soft skills via interactive workshops led by professionals in the field (eg: resume-building, public

       speaking, university applications etc).

  • Plan and facilitate biweekly workshops with guest speakers from the field.

  • Research potential guest speakers for workshops and initiate contact. 

  • Create new tasks or opportunities that ambassadors can work on aside from working in the different departments at HNP (such as new initiatives, programs etc).

  • Obtain testimonials from the entire team at the end of the program regarding the scope, quality and usefulness of the workshops and submit a final report to the Vice President of Administration

 

REQUIREMENTS: Strong communication skills, able to lead groups and adapt to new challenges, strong time management & organizational skills. Prior leadership experience is an asset but not required. 

Executive Secretary

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES:

  • Responsible for creating spreadsheets for attendance at weekly meetings.

  • Draft task lists/emails and compile meeting minutes for each week’s meeting.

  • First point of contact for anyone on the exec team who requires assistance with executive team forms (eg: contact info forms, poster request forms, consent forms, reference letter request forms etc)

  • Create and send out zoom links for all exec meetings on a weekly basis.

  • Responsible for executive team member quarterly check ins via feedback forms.

 

REQUIREMENTS: Being comfortable in new and challenging environments with strong communication skills. Familiarity with google forms, excel spreadsheets, zoom and google drive is an asset, but not required.

TikTok Manager

 

TIME COMMITMENT: (2-4 hours/week)

 

RESPONSIBILITIES: 

  • Record TikToks and Instagram Reels to advertise events and potential partnerships.

  • Plan and create content for our TikTok account to increase follower count.

  • Watch for trends on TikTok  to stay up to date.

  • Respond to comments and inquiries on our TikTok account in a timely manner.


REQUIREMENTS: Ability to use canva, TikTok and/or other video editing softwares is an asset but not required. Familiarity with TikTok, passion for social media management. Strong writing and communication skills.

Media/Newsletter Designer

 

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES

  • Research, write, edit and design new articles for our website and social media pages.

  • Responsible for producing a monthly newsletter on current and ongoing climate or environmental issues that will be sent out to general members, volunteers, and executive team members.

  • Work with the director of communications to research a theme for each month and create news articles accordingly.

  • Attend weekly meetings to update the rest of the organization on progress made in the communications department. 

 

REQUIREMENTS: Strong communication, writing and time management skills. Prior leadership experience is an asset but not required. 

Marketing Associate & Content Creator

NUMBER OF POSITIONS AVAILABLE: 3-4 (will be at least two other Marketing associates & Graphics Designers working with you)

 

TIME COMMITMENT: (2-4 hours/week)

RESPONSIBILITIES: 

  • Create and design posts for social media pages (facebook, Instagram, tiktok, linkedin).

  • Photograph events for our social media and upload photos on the HNP google drive.

  • Work under the marketing director(s) to come up with advertisement strategies for our events (eg: paid advertisements, instagram reels, tiktoks)

  • Work under the marketing director(s) to come up with advertisement strategies for our events (eg: paid advertisements, instagram reels, tiktoks)

  • Respond to comments and inquiries on HNP’s social media pages in a timely manner.

  • Work under the marketing director(s) to arrange shoutout for shoutout with other nonprofits and increase HNP’s follower count on Instagram and Facebook.

  • Respond to comments and inquiries on HNP’s social media pages in a timely manner.

  • Build connections on Linkedin platform to grow HNP’s business account.

  • Record TikToks and Instagram Reels to advertise events and potential partnerships.

  • Responsible for creating stories, videos and highlights on HNP’s social media platforms.

 

REQUIREMENTS: Ability to use photoshop, canva, TikTok and/or other video editing softwares is an asset but not required. Familiarity with TikTok & Instagram, passion for social media management and strong writing, collaboration and communication skills are an asset
